Plus, we introduced a new setting that controls how the Email tab behaves in the Inbox.<\/p>\n\n\n\n<p>We\u2019ve made all these changes to introduce a full-cycle, comprehensive <a href=\"https:\/\/docs.helpcrunch.com\/en\/channels\/helpcrunch-email-ticketing\" target=\"_blank\" rel=\"noreferrer noopener\">email ticketing system <\/a>that you can set up to work alongside chat messages in a single, unified help desk solution.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">\ud83d\udd00 Email assignment rules: To, from, and subject conditions<\/h2>\n\n\n\n<p>You can now set up new conditions for chat assignment rules based on incoming email fields.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\u2699\ufe0f How do new assignment rules work?<\/h3>\n\n\n\n<p>Assignment rule conditions now include a new default category, <em>Incoming emails<\/em>, which contains 3 new filters:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Email from<\/li>\n\n\n\n<li>Email to<\/li>\n\n\n\n<li>Email subject<\/li>\n<\/ul>\n\n\n\n<p>These conditions are evaluated against the first message in the chat. If it&#8217;s an email, the \u201cEmail from\u201d, \u201cEmail to\u201d, and \u201cEmail subject\u201d values are taken directly from it. If the chat started from another channel (widget, messenger), Incoming emails rules won&#8217;t apply.<\/p>\n\n\n\n<p>These conditions use standard string operators as for other conditions: <code>equals<\/code>, <code>not equals<\/code>, <code>contains<\/code>, <code>does not contain<\/code>, <code>is known<\/code>, <code>is unknown<\/code>.<\/p>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"2532\" height=\"1373\" src=\"https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/1-email-assignment-rules-helpcrunch.png\" alt=\"Assignment rules based on email fields in HelpCrunch\" class=\"wp-image-2627\" srcset=\"https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/1-email-assignment-rules-helpcrunch.png 2532w, https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/1-email-assignment-rules-helpcrunch-768x416.png 768w, https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/1-email-assignment-rules-helpcrunch-2048x1111.png 2048w\" sizes=\"auto, (max-width: 2532px) 100vw, 2532px\" \/><\/figure><\/div>\n\n\n<p>Just go to <strong>Settings <\/strong><strong>&nbsp;<\/strong><strong>\u2192<\/strong><strong> Automations <\/strong><strong>&nbsp;<\/strong><strong>\u2192<\/strong><strong> Assignment rules <\/strong><strong>&nbsp;<\/strong><strong>\u2192<\/strong><strong> Add new rule<\/strong>, and choose the needed option from the <strong>Conditions<\/strong> list (new Incoming emails conditions are between User information and Custom data) after clicking <strong>Add a condition<\/strong>.<\/p>\n\n\n\n<p>For example, you can set assignment rules like <strong>Email to<\/strong> <code>contains <strong>support<\/strong><\/code> or <strong>Email from<\/strong> <code>equals <\/code><strong><code>yourvipclient@clientcompany.com<\/code><\/strong>, or choose any other combination.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\ud83d\udce9 Use assignment rules for routing and tagging incoming emails<\/h3>\n\n\n\n<p>No matter how many email addresses your company uses, you can forward them all to the default email address in your HelpCrunch account, so that you can receive all the correspondence in one place.<\/p>\n\n\n\n<p>Once all your emails are forwarded to HelpCrunch, you can assign incoming letters to specific agents or departments by the recipient address, like support, sales, or marketing. For example, you can set up the emails sent to sales@yourcompany.com to go to the sales department you created earlier or your sales manager\u2019s inbox.<\/p>\n\n\n\n<p>Secondly, you can assign a specific department or agent to receive emails from a particular client (say, they worked with them before or know the specifics of the industry).<\/p>\n\n\n\n<p>Finally, you can set up assignment rules to route messages with specific keywords in the subject line to designated team members or departments. For example, you can indicate that the<em> <\/em><strong>Email subject<\/strong> <code>contains <strong>problem<\/strong><\/code><em> <\/em>should be assigned to your team member Chris. If someone sends you an email with the subject line &#8220;Platform login problem&#8221;, it will automatically fall into Chris\u2019s inbox.<\/p>\n\n\n\n<p>You can also add tags to contacts for each assignment rule. For instance, you can apply a <code>Leads<\/code> tag to contacts who sent an email to sales@yourcompany.com, making those contacts easier to identify and filter later. As an option, you can use tags to create audience segments for Auto messages.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\ud83d\udcec Introduce assignment rules for email fields to create separate inboxes<\/h3>\n\n\n\n<p>As mentioned earlier, you can now assign emails based on their to\/from addresses or subject line not only to different people, but also to departments. This allows you to have separate inboxes and avoid chaos in your shared inbox.<\/p>\n\n\n\n<p>You just need to create a new department in <strong>Settings \u2192 Team \u2192 Departments<\/strong>, which you may call \u201cTech Support\u201d, add all the team members specializing in tech questions there, and select this department when creating a new assignment rule for emails, say, incoming emails that have \u201cissue\u201d in their subject line or ones sent to your support@yourcompany.com email.&nbsp;<\/p>\n\n\n\n<p>Now, you have a separate inbox for the Tech Support department. For more precise automation, you can create custom inboxes and combine department filters with other criteria.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">\ud83d\udccaGet reporting for incoming emails<\/h3>\n\n\n\n<p>Here is an extra trick: because you can assign incoming emails to specific departments, you can also get detailed reporting for each of these departments and, as a result, learn more about the workload, response time, or even compare the volume of customer requests for each department and, thus, topic.<br><br>You can track the performance of a specific department in<strong> Reports &nbsp;\u2192 Inbox &nbsp;\u2192 Departments<\/strong>.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">\ud83d\udceeEmail tab behavior setting<\/h2>\n\n\n\n<p>To help you get the most out of email as a channel, we also added a new behavior setting for the Email tab in the Inbox editor.<\/p>\n\n\n\n<p>It sets what the Email tab is pre-filled with when you open a chat in the Inbox.<\/p>\n\n\n\n<p>You can find it in <strong>My Account <\/strong><strong>\u2192<\/strong><strong> Email settings <\/strong><strong>\u2192<\/strong><strong> Composing emails<\/strong>.<\/p>\n\n\n\n<p>It works individually for each agent, so every team member can choose their preferred behavior.<\/p>\n\n\n\n<p>There are two options to choose between:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>New email<\/strong> is the default option. When chosen, the Email tab contains the Default email subject and an empty email body.<\/li>\n\n\n\n<li><strong>Reply to the last customer email<\/strong> automatically fetches the customer&#8217;s last email and replies to it. Your reply uses the subject from the customer&#8217;s last email and quotes their message.<\/li>\n<\/ul>\n\n\n<div class=\"wp-block-image\">\n<figure class=\"aligncenter size-full\"><img loading=\"lazy\" decoding=\"async\" width=\"1924\" height=\"1060\" src=\"https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/2-email-tab-behavior-helpcrunch.png\" alt=\"Email tab behavior settings in HelpCrunch\" class=\"wp-image-2628\" srcset=\"https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/2-email-tab-behavior-helpcrunch.png 1924w, https:\/\/helpcrunch.com\/news\/wp-content\/uploads\/2026\/08\/2-email-tab-behavior-helpcrunch-768x423.png 768w\" sizes=\"auto, (max-width: 1924px) 100vw, 1924px\" \/><\/figure><\/div>\n\n\n<p>If there are no emails from the customer in the chat yet, your message will automatically act as a New email.<\/p>\n\n\n\n<p>Note that you can\u2019t disable the Default email subject. It always works, whether as the default option for New email or as a fallback for Reply to the last customer email if there are no email messages from the customer yet.
